Overview
Post-meeting notes and tasks are created by your note taker. Generic, venture backed note takers can add notes to your CRM, create tasks, and send a follow-up email and this is a great starting point if you're willing to use their tool and work within their structure.
The reality is that your process evolves. Your CRM has custom objects with specific fields, and those objects need to relate to the right contact and account. You manage projects and tasks in a particular way, and assigning work to other advisors on your team isn't something a generic note taker handles well. The follow-up email needs to sound like you wrote it, not like a template.
This is where custom automations earn their place.
Example Build
A Zoom meeting ending triggers the automation. The transcript runs through Jump AI that organizes and categorizes the notes, then the structured output flows into a custom Post Meeting Notes object in Salesforce that is related to the right contact and account. Then tasks are assigned to other advisors on the team. Project-level work and any client-facing tasks land in Notion, which doubles as a client portal for tasks the client needs to complete on their end.
The follow-up email is drafted in Outlook for the advisor to review and send. Nothing goes out automatically as the advisor reviews the Post Meeting Notes record and the draft email before either is finalized.
